REPORTS TO:  Commercial Lines Manager

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Service commercial line accounts as assigned in an effort to prevent errors and omissions.

Service commercial lines customers by handling phone calls, resolving customer problems, discussing coverage and answering questions to the best of your ability in a professional and courteous manner.

Keep producers fully informed of all-important activities on their accounts.  Be sensitive to potential problems and inform the producer or your supervisor.

In cooperation with producers, prepare company submission for new and renewal business quotations.  Follow procedures outlined on New Business or Renewal Business workflow.  Prepare summaries of insurance, statements of values, proposals and various documents as requested by the producer. 

Review all new business and renewal polices following established procedures. Ensure EPIC file is accurate and updated at all times.  Including correct coverage limits, forms, premium and commission.

Process new and renewal policies according to agency standards.  Prepare all needed invoices, binders, certificates, evidence of property forms, auto ID cards and correspondence.

Attach all necessary correspondence and documentation to appropriate new business, current and/or expired policies in EPIC utilizing the correct attachment category.

Prioritize workflow on desk and process accordingly. Process mail daily.

Process audits following the established workflow procedures.

Check daily and maintain suspense items.

Report to company and producer all claims. Follow established procedure.

Prepare premium financing agreements as needed.  Follow established procedure.

Notify producers of past due account and follow cancellation procedures as necessary.

Order MVRs when required and/or requested.  Follow established guidelines.

Maintain required license.

Attend seminars or educational activities to stay up to date on latest developments and trends in the industry.

Fill in for absent CSRs as directed by supervisor. 

Perform other duties and assignments as requested by supervisor. 

Immediately report any and all malfunctions of the computer software or hardware to the IT coordinator or supervisor.

EDUCATION/EXPERIENCE:

High school diploma or general education degree (GED); and five plus years of related experience and/or training preferred; or equivalent combination of education and experience.  Insurance agency experience necessary.  Advanced computer skills using agency software.

LANGUAGE SKILLS:

Ability to read, analyze, and interpret insurance policies, coverage’s, documents and regulations.  Ability to write reports and business correspondence.  Ability to effectively establish rapport, present information and respond to questions from Producers and customers.  Ability to explain to customer details of policies such as additional coverage’s and gaps.  Skill and ability to meet people and listen.

MATHEMATICAL SKILLS:

Producer Service Coordinator

The Producer Services Coordinator will serve as a central resource to ensure all producers are equipped with the tools, knowledge, and support they need to succeed. Additionally, the role will provide ongoing operational and administrative support to current producers—helping to drive consistency, efficiency, and growth across our team. This position will require monthly travel between our various branch locations.

Job Summary:

The Producer Operations Support role is critical in providing operational, administrative, and training support to new and existing producers. This position focuses on new producer orientation, technical onboarding, system training, carrier market knowledge, and access to subscription-based producer resources. The Producer Operations Support specialist will act as a key resource to ensure producers are equipped with the tools, training, and support they need to be successful. Monthly travel to branch locations is required to provide in-person support, facilitate training sessions, and build stronger connections with producers and teams.

Key Responsibilities:

  • New Producer Orientation:
    • Coordinate and conduct comprehensive onboarding sessions for new producers.
    • Provide new producers with necessary company logins, access credentials, and training resources.
    • Introduce new producers to marketing representatives and internal support teams.
  • System and Technology Support:
    • Provide basic training on EPIC agency management system functionality and workflows.
    • Assist producers with understanding and utilizing Zywave and other producer subscription resources such as Vertafore, Xdate, .
  • Carrier Knowledge and Resources:
    • Maintain a strong working knowledge of key insurance carriers and their target markets.
    • Educate producers on carrier appetite, underwriting requirements, and available resources.
    • Facilitate contract setup and manage company appointment processes.
  • Producer Relationship Management:
    • Be a consistent, go-to resource for producers to address questions, troubleshoot issues, and provide guidance as needed.
  • Training & Development Support:
    • Partner with internal marketing and carrier representatives to arrange introductory meetings and trainings for new producers.
    • Assist in developing and updating producer onboarding and training materials.
  • Administrative Duties:
    • Track onboarding progress, licensing status, carrier appointments, and training completion.
    • Maintain accurate records of producer resources, subscriptions, and credentials.

Qualifications:

  • Education:
    • Bachelor’s degree in Business, Insurance, Communications, Marketing, or a related field preferred.
    • Equivalent experience int the insurance industry will be considered in lieu of a degree.
    • Minimum 2 years’ experience in insurance operations, producer support, agency onboarding, or a related field.
    • Familiarity with EPIC or other agency management systems strongly preferred.
    • Knowledge of property and casualty insurance market and carrier relationships a plus.
  • Experience:
    • 2+ years of experience in insurance operations, producer support, agency onboarding, or related field.
    • Familiarity with EPIC or other agency management systems strongly preferred.
